Guest Database and Exporting Data

The Guest Database allows you to view, manage, filter, and export guest information collected through reservations and other interactions.

Opening the Guest Database

To access your guest database, go to:

Database → Guests

On the main screen, guest records are displayed by the latest created date by default, so you can quickly see the newest guests added to your database.

Managing Guest Records

You can customize the guest list view to better match your needs.

Adjusting Records Per Page

At the bottom of the page, you can select how many records are displayed per page:

  • 10 records
  • 25 records
  • 50 records
  • 100 records

This helps you navigate large guest databases more efficiently.

Using Filters and Columns

Use filters to narrow down guest records based on specific criteria, such as:

  • Guest name
  • Contact details
  • Visit history
  • Tags or statuses
  • Reservation activity

You can also customize visible columns to choose which guest information is displayed in the table and included in exported files.

This allows you to prepare more accurate and relevant exports.

Exporting Guest Data

Guest data can be exported in the following formats:

  • CSV
  • Excel (.xlsx)

How to Export Guest Data

  1. Open the Guestbook
  2. Apply any filters or column selections if needed
  3. Click the Download button
  4. Choose your preferred export format
  5. Enter the email address where the export file should be sent
  6. Confirm the export

Depending on the size of the database, export generation may take a few minutes.

Permissions

Only users with the following permissions can export guest data:

  • Owner
  • Manager

If you do not see the export option, contact your account administrator.

Receiving the Export File

Once the export is ready, you will receive an email containing a download link.

To download the file:

  1. Open the email
  2. Click the download button
  3. The file will download automatically

The exported file will usually appear in your computer’s Downloads folder or your browser’s default download location.

Additional Notes

  • Exported files include only the records that match your selected filters
  • Hidden columns may not be included in the export depending on your setup
  • Large exports may take longer to generate
  • For security reasons, export links may expire after a certain period of time.
