Until a prepayment for the reservation is made, the booking will remain yellow and under Pending status.
When a Guest Has Paid:
✔ The reservation status automatically changes from Pending to Confirmed.
✔ The paid amount appears in the reservation window.
✔ The payment date is recorded in the reservation timeline.
🔹 Note: The paid amount will only appear if the guest has made the payment through the Tablein system.
Handling Cash Payments
If a guest pays by cash, follow these steps:
- Manually update the reservation status from Pending to Confirmed.
- Enter the amount paid in the comment field.
- Add any additional details for internal records.
Unpaid Reservations & Auto-Cancellations
- If the guest does not pay within X hours (based on your offer settings), the system will automatically cancelthe reservation.
This system ensures clear payment tracking and helps prevent unconfirmed reservations from blocking availability.
Important Note About Payment Timing
The system starts counting the payment deadline from the moment the reservation is created, not when an offer is assigned.
How This Affects Payments:
- If too much time has passed between creating the reservation and requesting payment, the guest will still receive a payment request email.
- However, when they attempt to pay, the system will display a "Payment Expired" message.
- The reservation will remain in Pending status and won’t be automatically canceled, causing confusion and potential availability issues.
Best Practice:
✅ If you need to request payment several days after creating a reservation, create a new reservation and request payment at that moment. This ensures the system correctly tracks the payment window and prevents expired payment issues.
